This policy explains what The Indian Institute of Architects — Odisha Chapter (“the Chapter”, “we”) does with the personal information you give us when you register for NATCON ODISHA 2026 at https://natconodisha.com. It applies to this website and to the registration desk at the convention.
Who is responsible
The Indian Institute of Architects — Odisha Chapter is the data controller for the information described here. We can be reached at registration@natconodisha.com, on [phone — fill this in under Settings], or by post at [address — fill this in under Settings].
What we collect
- Registration details — your name, email address, mobile number, gender, IIA chapter, IIA membership number and COA registration number where you give them, your practice or studio, and for student delegates the college, course, year and roll number.
- A photograph, which you upload so that it can be printed on your delegate badge, and for student delegates a photograph of a college identity card, which is checked at the registration desk and is used for no other purpose.
- Payment information — the amount, the reference, the date and the status of your payment, and the identifiers the payment gateway returns. We never see or store your card number, UPI PIN, CVV, or net-banking credentials. Those are collected directly by Razorpay Software Private Limited on their own secure, PCI-DSS compliant systems.
- Technical information — the IP address and browser the registration was made from, kept so that we can investigate abuse of the form.
- Correspondence — anything you write to us about your registration.
Why we hold it
- To take your registration, confirm it, raise an invoice, and issue your delegate badge and QR code.
- To verify at the desk that the person collecting a badge is the person it was issued to.
- To tell you about the programme, the venue, timings, and any change to them.
- To keep the delegate records and accounts that the Chapter and the Institute are required to keep.
- To send news about the convention, where you have ticked the box asking for it. Every such message carries a way to stop them, and stopping them does not affect your registration.
Who else sees it
We do not sell your information, and we do not rent or trade mailing lists. It is shared only with:
- Razorpay, to take and reconcile your payment;
- the Indian Institute of Architects and its national office, for membership verification and the Institute's own convention records;
- service providers working for the convention — the badge printer, the venue, the email provider — who receive only what they need for that task and may not use it for anything else;
- a public authority, where the law requires it.
Your name, practice and chapter may appear on a printed or on-screen delegate list at the convention. Write to us before the convention if you would rather they did not.
Where it is kept, and for how long
Registration records are held on servers in India. Delegate records and payment records are kept for eight years, which is the period Indian accounting and tax rules require. Photographs and identity documents uploaded for badges are deleted within six months of the convention. Marketing consent is kept until you withdraw it.
How it is protected
The site is served over HTTPS. Passwords for the administration panel are stored only as one-way hashes. Access to delegate records is limited to the organising committee members who need it, and every change made in the panel is logged. No system is perfect, but we treat a breach seriously and will tell affected delegates and the relevant authority without delay.
Your choices
You may ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, or withdraw your consent to marketing. Write to registration@natconodisha.com and we will reply within thirty days. If you are not satisfied with our answer, you may complain to the relevant authority under the Digital Personal Data Protection Act, 2023.
Cookies
This site sets one cookie, which keeps your registration session together as you move through the form. It is not used for advertising and it is not shared. Blocking it will stop the registration form from working.
Children
Registration is for practising architects, allied professionals and enrolled students of architecture. We do not knowingly register anyone under eighteen without the consent of a parent or guardian.
Changes
If this policy changes we will post the new version here and update the date below. Material changes affecting registered delegates will also be emailed.
